F/T - Program Assistant/Librarian - Trinity Wall Street (NY)

Department: Music & the Arts
Reports To: Music Administrator
Located at the head of Wall Street, TrinityChurch has been part of New York City and our nation's history since its charter in 1697. At its core, Trinity is an Episcopal parish, offering daily worship services and faith formation programs at TrinityChurch, St. Paul's Chapel, and online at trinitywallstreet.org. Today, the collective organization is known as Trinity Wall Street, and includes Trinity Real Estate; Trinity Grants; St. Margaret's House; Trinity Preschool; Trinity Institute; Faith in Action ministries, and an extensive music program, including Concerts@One, the Trinity Choir, and the Downtown Youth Choir.

JOB DUTIES AND RESPONSIBILITIES
Office Administration (25%)
  • Answer phones and greet visitors
  • Sort and route incoming correspondence
  • Manage Directors' master schedules
  • General administrative tasks (data entry/mailing lists, entering Purchase Orders into Accts. Payable system, meeting material preparation, ordering office supplies, etc.)
Librarian (50%)
  • Maintain all Trinity music libraries, catalogues and database
  • Maintain Director of Music & the Arts' and Organists' music libraries
  • Order all required music as soon as possible to ensure on-time delivery
  • Prepare all music for distribution for choirs, orchestras, directors, conductors and guests
  • Expedite music orders as required.
  • Ship scores/parts to guest conductors, orchestral musicians and others as required
  • Advise relevant staff of missing/damaged copies and obtain permission to reorder
  • Liaise with composers/publishers for copyright agreements of new music
Congregational Arts Support (25%)
  • Act as staff liaison for Movement Choir, Visual Arts and other Congregational Arts groups (main point of contact, coordinate/attend meetings as required, attend/oversee events, assist in event scheduling/budget compliance, initiate supply/catering orders, invoice payment, etc.)
REQUIRED SKILLS AND KNOWLEDGE
  • Ability to multi-task and work in a fast-paced environment
  • Significant knowledge of classical music, both vocal and orchestral
  • Microsoft Office/Filemaker/Finale
REQUIRED EDUCATION, EXPERIENCE & CREDENTIALS
  • Bachelor's degree, Masters preferred
  • 2-5 years of experience
  • Music library experience a plus
