Mgr, Library Systems & Svcs, Dowling College (NY)

Dowling College in Oakdale, NY on Long Island is seeking a Manager, Library Systems and Services for its Library.



General Description:
Under the general direction of the Provost, the Manager, Library Systems and Services responsibilities include scheduling, administering, coordinating and supervising all technical and public service activities for the Library. Supervision includes all staff and student workers with the exception of faculty positions. The Manager, Library Systems and Services is also responsible for routine database maintenance for the Library’s online Millennium system.

Administrative Duties:
Manages and directs one full time Advanced Primary Administrative Secretary, two full time Principal Library Assistants, one part time Circulation Library Assistant, three part time Reference Librarians and approximately four student workers. The Manager is also responsible for other departments of the Library to provide information, materials and services to all students, faculty, administrators and other clients.

Financial Impact:
Prepares and oversees the library budget and works in collaboration with the full time faculty librarians in gathering and collecting information for the budget.

Other:
Facilitates all requests for outside services, including Maintenance, Purchasing, and Independent Contractors as needed.

Typical Duties:
1. Assists in the development and monitoring of the operating budget.
2. Approves all purchases through the Banner system excluding capital equipment.
3. Coordinates library functions to ensure that all policies concerning organization, circulation, and use of materials are enforced in the
Circulation and Technical Services areas.
4. Trains, supervises, evaluates and schedules library staff personnel and student workers.
5. Coordinates the maintenance of materials and the circulation of same including all records, files and statistics necessary for these
materials.
6. Coordinates the collection of detailed statistics and records of Circulation, Reference and Technical Services activities. Compiles and
submits periodic reports.
7. Places Banner holds on delinquent student accounts.
8. Coordinates services for copy machines to ensure client usage. Supervises collection of money by the service company and records
amounts collected.
9. Provides policy, directional and referral information in response to client questions.
10. Coordinates the sending of overdue notices to clients.
11. Initiates daily backup of Millennium system and performs weekly patron load.
12. Performs complex database maintenance, including updating new software releases.
13. Coordinates and plans all upgrades to the networked library system with the librarians and staff.
14. Coordinates long range plans with the Information Technology Department to enhance connectivity between the Millennium and
Banner Systems.
15. Coordinates hardware and Millennium software procurement, installation, documentation and security with the Information
Technology Department.
16. Troubleshoots all library hardware and software.
17. Troubleshoots problems arising with the Millennium System.
18. Develops and recommends alternative solutions to operational problems.
19. Maintains overall responsibility for opening and closing the Library.
20. Fosters a positive public image and attitude through effective communication, i.e., listening, speaking and writing.

Minimum Qualifications:
Bachelor’s degree and at least two years of technical services experience. Experience with the Millennium System preferred or any other
equivalent combination of experience, training and education which provides the following knowledge, abilities and skills:
 Knowledge in quality management, particularly in customer service.
 Knowledge of library operations and procedures.
 Ability to exercise judgment and initiative.
 Ability to deal effectively and tactfully with the public and staff.
 Ability to interpret policies and plans to students, faculty and other library clients.
 Experience with a library automation system.
 Skills necessary for performing detail-oriented technical services procedures.
